Audio-Visual Guidelines for Speakers

  2. File Submission:

    • It is recommended to upload your files to the above form by May 1, 2025. Or, upload to Dropbox here.

    • For presentations submitted after May 1 or brought on-site, presenters who need to plug in their presentations at the podium will use a USB drive to connect to the laptop provided.

  3. Presentation Control:

    • All presentations will be managed from the podium using the provided laptop.

  4. Resident E-Posters 5-minute quick shot presentations:

    • For the 55-inch monitors designated for E-posters, ensure that all poster files are uploaded by May 1, 2025.

    • There will be two monitors per session—please check the final program to see your poster session group (A or B) and time.

  5. Aspect Ratio:

    • Presentations and posters should be formatted in a 16:9 aspect ratio for optimal display on screens.

  6. AV Equipment Provided:

    • Each room will be equipped with the following AV setup as part of the room rental:

      • Podium

      • Podium gooseneck microphone

      • Screen and projector

      • Slide advancer/laser pointer

      • PC (laptop)

    • Panel tables will also have microphones for the speakers.

Ensure that all files are ready and formatted as specified to ensure smooth transitions during your presentation.
